1 Ceraco’s handling of personal data
In the following you can read how Ceraco handle your personal data.
We use the information you give us in order to fulfill and service the rental agreement with you.

Cerao is responsible of controlling and ensures that the processing of your personal data takes place in accordance with data protection legislation.

3 What information is collected and what is it used for?
Collecting, processing and stores only the personal data that is necessary to service the rental agreement with you. In addition, it may be determined by legislation which personal data we must collect, or to fulfill or secure a legal condition.
Personal data is processed pursuant to Article 6 of the Personal Data Regulation (Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016).
3.1 Information in connection with entering into an agreement
when entering a rental agreement, we register the information that you yourself provide to us in the rental agreement, etc. We process this information in order to manage and serve you as tenant and to comply with applicable legislation. It basically includes the following information on the tenant: contact details and account number.
3.2 Collected and monitoring Information
When registrating utilities, we need to receive and pass on your social security number to the utilitie providers (water, heat and electricity). Social security number is used by the utility providers to uniquely identify you.
3.3 Information about visits to the website www.ceraco.dk
Information about which parts of the website are visited is collected in log files together with IP addresses. The information is used to optimize the visitors’ use of the website. Collected IP addresses are also used for site security purposes, including protection against intrusions and attempts to prevent the service from working as expected.
Cookies & Sessions
The website uses cookies, which are small text files that are saved through your browser. The cookies we use generally do not contain any personal information. The individual cookies can be, but are not limited to, increasing the site’s security, as well as analysis of you as a user on the site with a view to improving the site’s functionality.
In some cases, session files will also be used, which may contain temporary information about your movements on the site. These text files are self-destructive, and therefore delete themselves again when you close your browser. The files are used in order to enhance your experience on the page, and do not contain any personal information.
Our cookies and sessions may contain personal information, including your IP, but this is only the case if we have your consent to it, or it is collected for a legitimate purpose (including security). Cookies collected for a legitimate purpose will not be used for analysis or to profile you, but will be used exclusively for the purpose of being able to form a security overview of the site and its functions.
Selected employees have access to the collected information. The information is used for and passed on in the form of statistics, etc., without specifying individual IP addresses. The purpose of the processing of statistics obtained from cookies is to be able to offer a better website.
3.3.1 Google Analytics
Vi anvender Google Analytics til at analysere færden på hjemmesiden, samt analysere den generelle brugerinteraktion med digitale elementer tilbudt på siden.
We use Google Analytics to analyze traffic on the website, as well as to analyze the general user interaction with digital elements offered on the page. In that context, e.g. cookies to keep statistics on the number of users, time spent on the website, and which subpages are visited.
In order to perform this function, Google also sets cookies in your terminal equipment (third-party cookies).
Your IP will be anonymized in connection with your visit to the page.
3.3.2 Contact through contact forms
When contacting via one of the site’s contact forms or available e-mails, you will have to accept that the data provided is correct. At the same time, you give your consent that we may collect and process the data sent, with the aim of being able to help or service you based on the wording of your message.
We guarantee that data will not be passed on to third parties, unless otherwise agreed for the individual enquiry.
4 Who has access to the personal data
Our employees have access to use the personal data. However, only to the extent that this is necessary to be able to serve you as a tenant or to comply with applicable legislation.
The personal information is passed on only to business partners who work for us and are tasked with carrying out necessary functions for the rental relationship.
We generally pass on the information to the following categories of business partners: IT supplier (including hosting), bank connection (for handling payments), and craft companies etc. who are engaged by us to maintain the leases, utilities (water, heat and electricity) and public authorities (if this is a legal requirement).
The personal data will not be passed on to business partners outside the EU.
5 How long is the information kept?
The personal information is stored as long as you are a tenant with us.
After the tenancy has ended, the personal data is stored if necessary to comply with applicable legislation, including the Money Laundering Act, the Bookkeeping Act and applicable data protection legislation. This means that the personal data is normally stored for up to 5 years after the tenancy has ended.
5.1.1 When contacting via form
If you contact us through a contact form, we will store the data you send us (name, e-mail, other personal data) for up to 2 years.
6 Your rights
You have the right to gain insight into and correct the personal data that we process about you.
You have the right to have the personal data that we have registered about you deleted. If you wish to have your personal data deleted, we will delete all information that we are not required by law to store, or that are necessary for us to serve you as a tenant.
Right to data portability (provision of data in a commonly used format).
If the processing of personal data is based on your consent, you have the right to withdraw the consent, which means that processing will then cease, unless we are required by law to process the personal data.
You have the right to a restriction of the processing of your personal data if, for example, you dispute the correctness of the information or object to the processing.
You can send your request to the under section 2 provided email address. Your request will be answered as soon as possible, and no later than one month after we receive your request. For complicated requests, the deadline can be extended by two months. If the request is manifestly unfounded or excessive, the request may be denied or a fee may be charged.
7 Complaint
